Who this notice covers

This notice applies to the CognaBright application (used by families, support workers and organisations) and to this public marketing website. Where the two differ, we say so below.

Information we collect

When you create a CognaBright account, we collect information such as your name, email address and account role (for example, a parent or guardian, a support professional, or an organisation administrator).

If you set up support for a child or another person you support, we collect the information you choose to add for that person — such as a name or identifier, routines, goals and micro-goals, communication supports, prompts, evidence and progress notes, and pain or care information where you choose to record it. This information is entered by you, or by a professional you've given access to, not collected from the person directly.

If you use Care-team connect or the Care-team workspace, we process the information you choose to share with the people you invite, and the access and role settings you assign them.

If you represent an organisation, we collect information about your organisation, its staff accounts, and the people your organisation supports, as set up by your organisation's administrators.

When you submit the public contact form, we collect your name, email, institution or organisation, organisation type, role, country or region, enquiry type, area of interest, message, privacy consent and optional updates preference. Please do not include health information or information that identifies a child, client, patient, participant or student in that form.

We also process limited technical information needed to keep the service secure, such as request timing and network address information used for abuse prevention.

How we use it

We use this information to provide and personalise CognaBright — including routines, communication supports, goals, progress and Care-team collaboration — to process family and organisation subscriptions, to respond to enquiries and support requests, and to keep the service secure and working reliably.

Sharing follows your choices and permissions

Families decide how information is shared with the people involved in their child's support. Organisations manage access for their own staff according to the roles and permissions they assign. CognaBright uses secure systems, and information is only visible to the people a family or organisation has chosen to give access to.

We may share information with service providers who help us run CognaBright — such as our hosting, authentication and subscription-billing providers — under terms that limit their use of it to providing that service to us.

Authentication and accounts

You sign in to CognaBright using an email address and password, or another supported sign-in method. We use this to verify it's you and to keep your account secure.

Subscriptions and billing

Family plan pricing and billing are handled by CognaBright's subscription provider. CognaBright does not store your full payment card details. Organisation pricing is arranged separately after an enquiry.

Cookies and analytics

With your consent, this public website uses Google Analytics to count visits and see which pages and campaigns bring people to CognaBright, and Microsoft Clarity to understand how pages are used, including clicks, scrolling and session recordings in which anything you type is hidden. Both load and set cookies only after you choose Accept, and you can change your choice at any time with Cookie settings at the bottom of the page. They are not used on the contact form, the account deletion request or the legal pages, and the website does not use advertising trackers or a newsletter service. Hosting and security providers may still process ordinary request logs as part of delivering the website.

The CognaBright application uses functional cookies or local storage needed to keep you signed in and remember your preferences, and may use limited tools to help keep the service reliable and secure. CognaBright does not sell personal information.

To show this website in the right language, CognaBright's own server may look up your approximate country from your IP address. The address is not stored or shared; only the two-letter country code is kept in your browser for seven days.

How long we keep information

We retain personal information only for as long as reasonably necessary to provide CognaBright, meet legal and regulatory obligations, resolve disputes, and maintain appropriate business records.

Security

We use server-side credentials and access controls so that account and support information is not available for anonymous public reading, and information is transmitted using encrypted connections. No system can be guaranteed completely secure, and we work to keep our practices up to date.

Where information is processed

CognaBright is used by families and organisations in multiple countries. Your information may be processed in Australia or in other locations where our service providers operate, under safeguards appropriate to that processing.

Children and the people you support

CognaBright is intended to be set up and managed by an adult — a parent, guardian, or an authorised support professional — on behalf of the person they support. We do not knowingly collect information directly from a child.

Your choices

You may ask for access, correction or deletion of your personal information, subject to identity verification and any applicable legal requirements. You can decline optional updates and still use CognaBright or submit a contact enquiry.

Changes to this notice

We may update this notice from time to time. We'll update the date at the top of this page when we do.
